Privacy Statement Ibis Tilburg Hotel B.V.

Hotel Het Laar Exploitatie BV (hereinafter: Ibis Tilburg) located at Dr. Hub van Doorneweg 105, (5026 RB) Tilburg with Chamber of Commerce number: 95821481, is responsible for the processing of personal data as shown in this privacy statement. We process information about individuals daily to offer our services. We handle your data carefully and are transparent about the processing. In this privacy statement, you can read more about how we process your data.

1 What personal data do we process and for what purpose?

Ibis Tilburg processes various personal data for different purposes. Ibis Tilburg processes your personal data because you use our services and/or because you provide them to us yourself. 

Guests:

When you book an overnight stay, we are legally required to process your first and last name, day of arrival, type of identity document/travel document, day of departure, and country of origin. Additionally, Ibis Tilburg is legally required to verify your identity. In this regard, it is possible that we also store a copy of your identification document, excluding the BSN number.

If you make a booking for an overnight stay, a table reservation for the restaurant, renting a meeting room, or planning an event, you enter into an agreement with Ibis Tilburg. To execute the agreement, we process, in addition to the legally required personal data when booking an overnight stay, your gender, date of birth, phone number, email address, nationality, payment details, and any ALL (Accor Live Limitless) membership. 

For making a reservation in our restaurant, sauna, or for renting a meeting room, we may process your first and last name, phone number, and/or email address. 

Additionally, we may ask you for additional information for the execution of our services, such as dietary preferences or other preferences. This data is only processed when you have given permission for it. 

Cookies

Our website uses cookies. Cookies are small pieces of information that are stored by your browser on your computer. We place functional cookies to make the website more user-friendly for visitors. We also use analytical cookies to analyze visitor statistics, for example. 

According to the law, we may store cookies on your device if they are strictly necessary for the functioning of the site (so-called functional cookies). For all other types of cookies, we need your consent. When you visit the website, a notification is shown to accept cookies, and more explanation is given about the respective cookies. 

If you do not accept cookies or set your browser to not accept cookies, this could mean that you cannot make optimal use of our website. 

Camera Surveillance 

Ibis Tilburg has a legitimate interest in using camera surveillance in public areas, as far as necessary, to secure its properties and protect its guests and employees. Through the camera images and sound recordings, Ibis Tilburg gains insight into the activities of individuals. 

Ibis Tilburg does not make decisions based on automated processing about matters that could have (significant) consequences for individuals. Camera images are automatically deleted after 3 weeks unless the images have captured an incident that is still being investigated.

2 Partners

Ibis Tilburg does not share your data with third parties, except in the following circumstances:

  1. when it is necessary for the execution of the agreement. For example, we use a third party that handles (online) payments, subcontractors, our franchisor, and suppliers.
  2. when parties process personal data on our instruction and in accordance with our policy. This includes our IT suppliers and managers of IT systems. Ibis Tilburg has entered into a processing agreement with these parties to ensure the same level of security and confidentiality of your data. Ibis Tilburg remains responsible for these processes.
  3. when it is necessary for Ibis Tilburg to share data based on a legal obligation. This includes fraud investigations, national statistics surveys, tax inspectors, and municipalities in connection with tourist taxes.
  4. when it is indicated at the time you leave your personal data with us.

Some of these partners process personal data outside the European Economic Area. A transfer to a country outside the European Economic Area will only take place if the legal requirements are met.

3 How long do we keep your data?

Ibis Tilburg does not retain your personal data longer than strictly necessary to achieve the purposes for which your data is collected. Most data is retained according to a legal retention period. This includes personal data found in our financial administration, for which the legal term of 7 years is applied. 

When you make a restaurant reservation through our digital reservation system, your reservation is automatically deleted after two years. However, a copy of the identification document is immediately destroyed once the guest checks out.

4 Exercising rights

You have the right to access, correct, or delete your personal data. Additionally, you have the right to withdraw any consent for data processing or to object to the processing of your personal data by Ibis Tilburg, and you have the right to data portability. This means you can request us to send the personal data we have about you in a computer file to you or another organization specified by you. You can send a request for access, correction, deletion, data transfer of your personal data, or a request to withdraw your consent or object to the processing of your personal data to privacy@ibis-tilburg.nl

We will respond to your request as soon as possible. Ibis Tilburg also wants to point out that you have the option to file a complaint with the national supervisory authority, the Dutch Data Protection Authority. 5 Security

Ibis Tilburg takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. For example, our reservation systems, payment system, and terminals are PCI compliant, and our employees follow PCI training. 6 Other

This privacy statement is in accordance with the General Data Protection Regulation. We reserve the right to update this privacy statement periodically. The latest version will be published on our website. We therefore advise you to regularly review the privacy statement.
